Refund Policy

This Refund Policy explains the circumstances in which amounts paid to AlphaNom Ventures Pvt. Ltd. ("AlphaNom", "we", "us") through the AlphaNom platform ("Platform") may be refunded or credited. This Policy applies to all users of the Platform and should be read together with the Terms and Conditions, the Employer Service Agreement ("ESA"), and the Recruiter Service Agreement ("RSA").

Note: In the event of any conflict between this Policy and the Employer Service Agreement on matters relating to the Placement Fee, the Employer Service Agreement shall prevail.

Employers

Pay Placement Fees — this Policy applies.

Recruiters

Receive payouts only — no refund applicable.

Candidates

Never charged any fee — Policy does not apply.

1. Who This Policy Applies To

1.1 Only Employers make payments to AlphaNom on the Platform, in the form of the Placement Fee under the Employer Service Agreement. This Policy therefore applies to Employers.

1.2 Recruiters do not pay any fee to AlphaNom. Recruiters only receive Recruiter Payouts from AlphaNom in accordance with the Recruiter Service Agreement. As Recruiters make no payment to AlphaNom, there is no refund applicable to Recruiters under this Policy. Clawback of Recruiter Payouts in specific circumstances is governed separately by Section 8 of the Recruiter Service Agreement and is not a refund.

1.3 Candidates are never charged any fee by AlphaNom for using the Platform, whether directly or through a Recruiter submission. As Candidates make no payment to AlphaNom, this Policy does not apply to Candidates.

2. General Principle — Placement Fee is Non-Refundable

2.1 The Placement Fee payable by an Employer under the Employer Service Agreement is earned upon the relevant payment trigger (offer acceptance for the first instalment, and the Candidate's Onboarding Date for the second instalment) and is non-refundable as cash, except in the single limited circumstance described in Section 3 of this Policy.

AlphaNom does not offer cash refunds for:

An Employer changing its mind about a Job Requirement after a Candidate has accepted an offer.

An Employer withdrawing or retracting an offer for any reason other than those specifically addressed in Section 9.5 of the Employer Service Agreement.

A Candidate's voluntary resignation or termination for underperformance, where the Replacement Guarantee under Section 9 of the Employer Service Agreement applies instead of a refund.

Dissatisfaction with a Candidate's performance after joining, where such performance was not material to the validity of the Placement.

Any change in the Employer's business circumstances, including budget changes, restructuring, or role elimination.

3. The Only Refund Mechanism — Credit Note for Non-Joining

3.1 The sole circumstance in which any amount paid by an Employer is returned is set out in Section 5.2 of the Employer Service Agreement, summarised below for ease of reference. This summary does not replace or modify the Employer Service Agreement, which remains the governing document.

Credit Note Conditions (ESA Section 5.2)
Trigger Event
The Candidate ghosts or withdraws acceptance entirely, and does not join on any date.
Condition for Credit
AlphaNom is unable to provide a replacement Candidate within 60 (sixty) business days of the Employer formally submitting the non-joining notification through the Platform.
Clock Start Date
The date the Employer submits the non-joining notification through the Platform — not the date of non-joining itself, and not the date AlphaNom acknowledges the request.
What Is Credited
The first instalment (50% of the Placement Fee), already paid, is converted into a credit note of equivalent value. The second instalment invoice (the remaining 50%) is cancelled and never raised.
Form of Credit
A credit note only. No cash refund is issued at any point under this Policy.
Validity
The credit note is valid for 12 (twelve) months from the date of issue.
Transferability
Non-transferable. Usable only by the Employer to whom it was issued, against a future confirmed Placement on the Platform.
Limit
Applies once per original Placement. A second non-joining event on the same Placement does not generate a further credit.
Forfeiture
The credit note is forfeited if the Employer has any overdue invoices at the time of the non-joining event.

4. Situations Where the Credit Note Does Not Apply

4.1 The credit note mechanism in Section 3 above does not apply, and both instalments of the Placement Fee remain payable in full, where the Candidate does not join for any reason other than ghosting or complete withdrawal of acceptance, including but not limited to:

Offer retraction by the Employer (governed separately by Section 9.5 of the Employer Service Agreement, which addresses BGV failures and misconduct cases).

A delay in the Candidate's joining date that is mutually agreed between the Employer and the Candidate (such as an extended notice period or revised start date).

Any change in the role, compensation, or terms initiated by the Employer after the Candidate's acceptance.

Any other Employer-initiated change to the hiring decision.

4.2 In each of the above situations, the Employer's remedy, if any, is the Replacement Guarantee under Section 9 of the Employer Service Agreement, not a refund or credit under this Policy.

5. Invoicing Errors

5.1 This Policy addresses refunds and credits arising from the recruitment process. It does not limit an Employer's right to raise a billing query regarding a factual invoicing error (such as an incorrect amount, duplicate invoice, or incorrect GST detail) under Section 5.3 of the Employer Service Agreement. Any such query should be raised with AlphaNom's billing team at support@alphanom.in within 15 (fifteen) business days of the invoice date, and will be addressed as an invoice correction, not a refund.

6. How to Raise a Request

6.1 To submit a non-joining notification for the purposes of Section 3 of this Policy, Employers must use the relevant feature on the Platform. The date of this Platform submission is the date that starts the 60-business-day clock described in Section 3.

6.2 For any other billing-related query, Employers may contact AlphaNom at support@alphanom.in. AlphaNom will acknowledge all billing queries within 3 (three) business days and aim to resolve them within 15 (fifteen) business days.

7. Governing Document

7.1 This Policy is a summary provided for clarity and convenience. The Employer Service Agreement and the Recruiter Service Agreement remain the binding legal documents governing all payment, credit, and clawback matters on the Platform. In the event of any inconsistency between this Policy and the Employer Service Agreement or the Recruiter Service Agreement, the relevant service agreement shall prevail.

7.2 AlphaNom may update this Policy from time to time. Updated versions will be published on the Platform with a new effective date.
